Labor costs are the single largest expenditure for the Meadows Race Team. Additionally, setting a schedule, having our coaches on the hill and recording your time working allows the Program Director and BOD to maintain an accurate budget. It is incumbent on all coaches to accurately and correctly reflect their time. Additionally, with every dollar paid to you we have to make a contribution to SAIF (workers comp insurance). This rate has fluctuated based on previous accidents and injuries. The lowest the rate has been is an additional .20 cents on the dollar and as high as .45 cents on the dollar. That means for every $100 paid to a coach we have to contribute $45 to SAIF for past and future accidents. We do pay a higher rate for drive time incurred in the course of employment (driving to work is not considered “drive time”). Please be sure to accurately show your time on your timesheet. Lastly, at the end of the training day we expect you to “clock out” prior to taking off free skiing. If you have not thoroughly read the section on safety please review it again. Safety matters and really affects our club’s financial solvency.
Coaching Hours: A normal on-the-hill training day typically involves 6 hours of coaching. We are generally on the hill from 9-2 (11-12 lunch), plus we meet at 8 am on Saturday mornings. Time entered beyond the 6 hour coaching day is allowed only when prior approval has been obtained from the Program Director or during a special event like a race. Normal night-training session involves 4 hours of coaching. If there is ANY reason you need to depart early this needs to be approved by the PD and/or HC.
Administrative Hours: Administrative hours are paid on an hourly rate. Age class lead coaches will incur up to two additional hours per week sending email and communicating. Administrative hours beyond 2/week requires approval by the Program Director. Please record those as they occur.
Expense Reporting
Reimbursed expenses must be pre-approved by the program director and documented. Expense reports (including copies of all the receipts) are due on the 5th of each month for the previous month. All Club credit card purchases need to have receipts returned after each project or trip. Late submittals will be processed the following month.
